No data is ever reported for groups of fewer than five respondents. If you are in a small group or demographic, your data is aggregated into a larger organizational bucket to ensure your individual sentiment remains hidden.

AI Scrubbing

To prevent "style-matching" or identification through specific anecdotes, our AI generalizes responses. For example, "I hate the coffee in the 4th floor kitchen" becomes "Employee expresses dissatisfaction with office coffee."

Personal Identifiable Information (PII) is automatically detected and redacted before any data reaches our analysis engine. This includes names, locations, specific dates, and project titles.

We utilize a principle of least access internally. Raw response data is isolated through double-blind protocols, ensuring that no Retention Insights staff member can associate specific feedback with an individual respondent while working with our clients.

Duty of Care & Safety

Our software is programmed to detect content involving threats of self-harm or harm to others. In these rare cases, Retention Insights personnel are alerted to ensure help can be provided. You will be informed immediately if such content is detected.

Retention Insights maintains a strict Duty of Care. Our software will only alert RI personnel if a message is determined to contain threats of self-harm or harm to others. You will be informed immediately if this content is detected so that appropriate help or resources can be shared.

Can my manager see exactly what I wrote?

No. Managers only see "Scrubbed Insights"—summaries of themes across five or more people. The raw text of your response is never displayed to anyone at your company.

What if I use very specific details in my feedback?

Our AI "Scrubbing" technology is specifically designed to catch these details. It identifies specific nouns, project names, and dates, replacing them with generic categories to preserve the context without the identifier.

I am the only person in my role. Am I identifiable?

Because of our "Rule of Five," if you are the only person in a specific role or small department, your data is automatically moved into the next level up in the organizational hierarchy (e.g., your Division or the whole Company) for reporting purposes.

Where is my data stored?

Data is stored in isolated, encrypted cloud environments. Retention Insights acts as a neutral third-party "data vault." Your company never has direct access to the database.
